Position Summary

Faculty Services Associates are key members of the Faculty Services Center overseen from the Office of Faculty Affairs. Each associate is assigned the responsibility to lead support needs, to faculty members, from a specific academic area, program or concentration. They will also collaborate with one another across team projects and cross-train in other areas to create a support structure that can both address complicated queries as well as solve simple standard issues quickly.

 

Specialization Unit

Faculty of Social Sciences, GCS and Humanities

• Faculty point of contact for liaison/support work as it relates to the faculty of Social Sciences, Global China Studies and Humanities
• Support for management of Social Sciences program budget as needed
• Periodic support for research faculty needs in items not covered from Center for Global Asia, Center for Society, Health and Medicine, or research support-hired personnel
General Assignment Duties
• On-boarding and Off-boarding liaison to operational departments, serving as faculty host
• Preparation of finance reports for reimbursement and payment
• Procurement of equipment and supplies for faculty offices and research
• Arrangements of business travels for faculty and their visiting academics
• Arrangements of on-campus student worker and intern hiring for faculty
• Scheduling and coordination of faculty meetings as needed
• Collaboration with Faculty Services Associate of Events on support to faculty events as needed
• Liaising with other operational departments (Finance/HR/Facilities/IT/Public Safety) and academic institutes/centers/programs as needed
• Supporting other related administrative work and team projects as needed or assigned by Manager
• General working knowledge of the duties covered from administrators for Writing & EAP Program and Interactive Media Arts (IMA) Program
o Events and General Administration, Faculty of Mathematics, Faculty of Arts, Graduate and Advanced Education, Faculty of Natural Sciences and Computer Science, Faculty of Business and Economics, Program on Creativity + Innovation
• General working knowledge of the duties covered from administrators for Writing & EAP Programs, Language Programs and Interactive Media Arts (IMA) Program

Qualifications

The eligible candidate must have excellent interpersonal skills, be detail oriented, proficient at troubleshooting and problem solving. Multitasking and time management is a must along with maintaining high integrity of values and institutional virtues.

 

Required:
• Bachelor's Degree
• Proficiency in Microsoft Applications, Google Docs/Apps
• Fluency in spoken/written English & Mandarin
Preferred:
• Master's Degree or 2 years of relevant administrative experience
• Experience in multicultural environment
• Educational background in or work experience relevant to Social Sciences or Humanities
• Experience and interest in Social Sciences and Humanities project support
