Senior Administrator, NYU Shanghai Global Institute for Longevity and Resilience / 上海纽约大学长寿与韧性发展研究院高级行政主管

The Senior Administrator will work closely with the Executive Director to oversee the day-to-day administration and operations of the NYU Shanghai Global Institute for Longevity and Resilience. The Institute is a university-wide, interdisciplinary platform that brings together expertise across public health, social science, urban and environmental studies, computer and data science, engineering, business, economics, finance, and policy to promote healthy longevity and resilient societies.

Working closely with the Executive Director, Founding Director, faculty, and relevant University offices, the Senior Administrator will oversee administration, budgeting, research support, program and event coordination, external collaborations, and institutional reporting, while helping to build the Institute’s administrative capacity and translate its priorities into effective implementation.

Main Responsibilities

Institute Administration and Operations

• Oversee the Institute’s day-to-day administration and coordinate the implementation of periodic/annual priorities, programs, and activities.
• Manage administrative processes, workflows, records, and coordination with relevant NYU Shanghai offices.
• Track major initiatives and ensure timely follow-up on decisions, deliverables, and institutional requirements.

Budget and Resource Management

• Develop and administer the Institute’s operating budget in consultation with the Executive Director.
• Oversee financial processes, including purchasing, contracts, payments, reimbursements, and externally funded activities.
• Monitor expenditures and prepare regular financial and operational reports.

Research Administration and Program Support

• Support the development and administration of interdisciplinary research programs, pilot projects, and other faculty-led initiatives.
• Identify relevant funding opportunities and support the drafting, coordination, and submission of competitive grant proposals and proposals for external research collaborations.
• Coordinate research administration, including internal approvals, project implementation, reporting, and collaboration with relevant University offices.
• Support the implementation of visiting scholar, postdoctoral, faculty, student, and other Institute programs.

External Partnerships and Engagement

• Support collaborations with peer universities and research institutions, healthcare organizations, corporations, government and public-sector agencies, foundations, and other external partners.
• Coordinate partnership proposals, meetings, visits, joint initiatives, and related follow-up.
• Serve as an operational point of contact for selected external collaborations and work with University offices to support their effective implementation.

Events, Governance, and Communications

• Oversee the planning and execution of the Institute’s conferences, workshops, seminars, advisory meetings, and other academic and public-facing events.
• Support the Institute’s Advisory Board and other governance activities, including meeting preparation, materials, records, and follow-up.
• Prepare or coordinate reports, briefing materials, presentations, website content, and other communications for Institute and University leadership.

Personnel and Team Coordination

• Support the recruitment and onboarding of future Institute staff, postdoctoral researchers, visiting scholars, student assistants, and other personnel as the Institute grows.
• Help establish effective administrative structures, roles, and workflows to support the Institute’s future development.
• Contribute to building a collaborative, responsive, and professional working environment as the Institute expands.

Required Education

• Master’s degree or above in public health, public administration, health administration, healthcare management, higher education administration, social sciences, or another field relevant to the Institute’s mission and activities.

Required and Preferred Experience

• Minimum of ten years of relevant professional experience, preferably in higher education, healthcare, public health, research administration, government, nonprofit organizations, or other fields related to the Institute’s mission.
• Demonstrated experience managing complex programs, projects, or organizational operations involving multiple stakeholders.
• Experience supporting or developing collaborations with universities and research institutions, corporations, government or public-sector organizations, foundations, or other external partners.
• Experience with budgeting, financial administration, event or program management, and institutional processes.
• Experience working closely with senior leaders, faculty, researchers, and external stakeholders.
• Experience with research administration, research program development, grant development, or externally funded projects strongly preferred.
• Relevant academic or applied research experience, particularly in public health, healthcare, longevity and aging, public policy, social science, or a related field, is highly valued.
• Supervisory or team management experience strongly preferred.
• Experience working in a university, research institute, healthcare organization, public-sector organization, or similarly complex institutional environment strongly preferred.

Required Knowledge, Skills, and Abilities

• Native-level proficiency in spoken and written Chinese and full professional fluency in spoken and written English.
• Strong organizational, project-management, and administrative skills, with the ability to manage multiple priorities and deadlines simultaneously.
• Strong writing skills and demonstrated ability to contribute to grant proposals, research proposals, partnership materials, reports, and other professional documents in both Chinese and English.
• Ability to understand academic research and communicate effectively with faculty and researchers across disciplines.
• Excellent interpersonal and communication skills and the ability to work effectively with faculty, senior leadership, colleagues, and diverse external stakeholders.
• Strong judgment, discretion, and attention to detail.
• Plans and prioritizes work effectively, takes initiative, manages complexity and uncertainty, balances the needs of multiple stakeholders, and builds productive collaborations in a bilingual, interdisciplinary, and international academic environment to advance organizational goals.
