Position Summary

The Administrator will play a crucial role in the support and coordination of A&S summer programs such as the Chinese Summer Immersion Program, as well as the Global Perspective on Society (GPS) program at NYU Shanghai. This individual will work closely with the Dean of Arts and Sciences, Director of Chinese Language and Chinese Summer Immersion Program, Senior Administrator of Arts and Sciences and various NYU Shanghai faculty and academic units to ensure the effective operation of various initiatives.

The main responsibilities include: 

 

1) Chinese Summer Immersion Program (60%) 

Program Coordination & Liaison:
Serve as the primary point of contact among the Chinese Summer Immersion Program, Arts & Sciences, and relevant university offices (e.g., Academic Affairs, Residential Life, Student Life, Human Resources, Provost’s Office). Coordinate across units to ensure smooth planning and operation of the program.

Program Planning & Implementation:
Support the Director in overall program planning, including academic, co-curricular, and extracurricular components. Assist with  the execution of current program activities such as cultural events, field trips, lectures, student interest groups, and special events (e.g., inter-university speech contest, orientation, closing ceremony) and take the lead in developing new initiatives (weekend host family initiatives).

Outreach & Communications:
Design and update program websites and promotional materials, and actively explore new ways to expand outreach. Support program promotion to partner institutions and prospective students through campus visits, conference presentations, information sessions, events and communications. Maintain program contact lists, periodically share program developments with partner school faculty, students, and administrators, and coordinate student ambassadors.

Student & Staff Coordination:
Serve as a key contact for admitted students from pre-arrival through program completion. Coordinate onboarding, respond to inquiries, and provide ongoing administrative support for students, teaching assistants (TAs), and student workers to ensure a smooth teaching and learning experience. Assist with TA recruitment, onboarding, and communication.

Logistics & Operations:
Coordinate program logistics including faculty and student housing, room reservations, campus access, transportation, and vendor arrangements. Support faculty training week logistics and ensure operational readiness for program delivery.

Event & Activity Management:
Plan and execute program events, including booking venues, chaperoning field trips and program visits, coordinating AV/technical support, arranging catering, managing attendance, and supporting external guests or facilitators. Provide on-site support for program activities and excursions.

Budget & Financial Administration:
Track program budgets and expenses, process reimbursements, manage payments (e.g., student workers, honoraria), and support financial reporting, including external funding requirements.

Data Management & Reporting:
Collect and organize program data, including participant information,  program and course evaluation feedback, participant surveys, and event photos and videos. Assist in preparing program reports, assessments, and materials for future program planning and promotion.

Additional Responsibilities:
Perform other related duties as assigned by the Director. The role may evolve with program development and institutional needs.

2) Global Perspectives of Society (40%) 

Program Coordination & Liaison:
Collaborate with relevant NYU Shanghai units (e.g., Provost’s Office, A&S Dean’s Office, Academic Affairs, Registrar) to support the effective operation of the GPS program. Respond to the needs of students, faculty, and administrators.

Meeting & Event Coordination:
Organize meetings and program-related events, including venue reservations, virtual meeting setup, preparation of materials, and on-site coordination.

GPS Faculty & Student Support:

Provide ongoing administrative support to a large, multi-section course involving multiple instructors and a high volume of students. Assist with course coordination needs, respond to inquiries, and help address operational issues to ensure a smooth teaching and learning experience.

Records & Office Administration
Maintain accurate and up-to-date records related to GPS course scheduling, student enrollment, academic progress, and grades. Manage office supplies as needed.

Budget & Financial Administration:
Assist with annual budget planning, expense tracking, and financial reporting.

Communications:
Draft and distribute program communications, including newsletters and updates.

Additional Responsibilities:
Perform other related duties as assigned by the Dean of Arts and Sciences. The role may evolve with program development and operational needs.

Please note that as new summer programs may launch in the future, the staff may be required to take on work for other projects as assigned by Arts and Sciences.

Qualifications

Required Education

  • Master’s Degree preferred

Preferred Experience

  • Prior experience in program administration or management in an educational setting.

Required Knowledge, Skills, and Abilities.

  • Mandatory: fluent English and Chinese skills in both writing and speaking
  • Excellent communication skills
  • Strong time management and multitasking skills
  • Ability to proactively solve problems
  • Ability to work independently and as part of a team
  • Attention to details
  • Ability to work cooperatively and productively in a multicultural team environment
  • Proficiency in Microsoft Office, Doodle Poll, Gmail and other Google apps
