Position Summary

The Assistant Director of Operations, NYU Shanghai Admissions will oversee the operational functions of data systems used by the Office of Undergraduate Admissions at NYU Shanghai and will be responsible for the information, policies and procedures. 

 

The Assistant Director of Operations, NYU Shanghai Admissions is responsible for data consistency and adherence to university reporting requirements. The successful candidate is an independent and critical thinker with experience in customer relationship management (CRM) software and data manipulation; complex data entry and calculation; creativity, initiative and excitement about leveraging the potential of a CRM.

The Assistant Director of Operations, NYU Shanghai Admissions is a Shanghai-based operations staff, and will report to the Associate Director of Operations in Shanghai, and liaise with other departments within Shanghai undergraduate admissions, and the University as required.

 

The main responsibilities include:

 

Data System Management and Development (50%)

  • With support from the Associate Director of Operations, manage the technical systems that house the data of inquiries, applicants, and organizations;
  • Ensure operational systems function effectively in order to support recruitment, institutional positioning, diversity and inclusion, and customer service-related goals;
  • Provide technical and operational support for all functions of the NYU Shanghai Office of Undergraduate Admissions, including recruitment, evaluation, marketing, admissions events and operations of the Welcome Center under the NYU Shanghai Office of Undergraduate Admissions;
  • Collaborate with NYU Undergraduate Operations team on tasks related to central applicant and inquiry management during high volume periods such as reviewing potential duplicate records and linking supporting documents to the correct application record;
  • Evaluate the effectiveness of current system operations, recommend system enhancements in service of staff and students;
  • Ensure new developments or functionality added to systems are integrated effectively and meet the needs of the departments, users, and external audiences;
  • Complete annual required updates in databases to fields, prompts, communications, queries, reports, and other resources to support transition from prior to current admissions cycle;
  • Identify and resolve technical issues, serving as the first line of defense for questions from end-users;
  • Complete internal testing of new build and configuration items; lead system and user acceptance testing efforts;
  • Train Admissions and outreach staff on all related system usage and functionality.

Cross-Departmental Support and Reporting (30%)

  • Participate in NYU Shanghai recruitment, evaluation and yield activities as needed;
  • Assist with office tasks to support the Welcome Center and marketing activities including, but not restricted to, event registrations are posted online on a regular cadence; manage the registration process for info sessions and events; ensure data collection and quality of visitors; support events reporting;
  • In compliance with Enrollment Management policies and processes, manage data reporting for senior leadership, and other relevant stakeholders;
  • Assist with data reporting for admissions staff and senior leadership; provide existing data on a scheduled and ad hoc basis, and work strategically to meet future demands for data;
  • Serves as a liaison for NYU Shanghai Institutional Research, and other University offices to ensure all data requirements are met;
  • Report on ongoing recruitment efforts and current status of applicants; provide information and reports;
  • Collaborate with relevant stakeholders to ensure data consistency and adherence to University requirements.

Inquiries and Student Applications (20%)

  • Oversee system processing of undergraduate admissions applications throughout the application and enrollment cycle in coordination with the NYU Shanghai Admissions team;
  • Answer emails, phone calls, and process applicant documents in order to facilitate the admissions process;
  • In partnership with leadership at the NYU Shanghai Office of Undergraduate Admissions, execute established policies and procedures to ensure smooth operations and deadlines are met.

Qualifications

Required Education:

  • Bachelor's degree.

Preferred Education:

  • Masters in data science, information technology.

Required Experience:

  • Experience in: supervising daily business operations or equivalent combination of education and experience; customer relationship management (CRM) software and data manipulation; complex and quality data entry; using data and business knowledge for reporting to senior leadership.

Preferred Experience:

  • Experience using MS Dynamics 365 CRM, supervising daily business operations in an admissions office; end-user technical support; CSS, HTML, or query writing; workflows and the use of conditional logic to configure systems for varying user groups and applicant populations.

Required Skills, Knowledge and Abilities:

  • Strong written English and Chinese;
  • A strong focus on customer service;
  • Highly organized, with a strong attention to detail and a commitment to ensuring the highest level of accuracy in all aspects of the role;
  • Ability to collaborate well with multiple stakeholders;
  • Ability to embrace change and work in a nimble fashion adapting quickly to updates, improvement processes and institutional changes;
  • A good understanding of how a CRM should and can be utilized across the institution;
  • Ability to provide technical support to end users, diagnosing and resolving problems.

Preferred Skills, Knowledge and Abilities: 

  • Ability to evaluate and configure MS Dynamics 365 CRM systems and provide end user documentation;
  • Experience with Technolutions Slate CRM as an administrative user;
  • Excellent business analysis and problem-solving skills. Quick, analytical thinking. Ability to effectively communicate complex concepts;
  • Skills to maintain and ensure high integrity data.
