Position Summary

Intro about Dept./Unit/Program

The Office of Residential Education & Housing manages on-campus housing and the Residential Education programs focussed on living and learning experience for students. NYU Shanghai currently houses students in three towers at the Jingyao Complex led by a team of Resident Assistants (RAs) and professional staff. The Residential Education team focuses on supporting student needs as they adjust to and navigate the university environment. The Residential Education team is responsible for maintaining an environment that supports student’s academic goals, along with their personal development. The Office of Residential Education and Housing strives to create a community that enables students to live independently and transition smoothly into a new environment away from home.

 

Position Summary

The Residential Education Program Coordinator, Residence Hall Assistant Director is a full-time university staff position that works with different functional units within the Office of Student Affairs to provide comprehensive residential programs and support students living in residence. The Residence Hall Assistant Director will act as the first point of supervision for all needs of residential students living in the NYU Shanghai Residence Halls, including but not limited to supervision of relevant Resident Assistants and attending to all needs of the residential community.  

 

The main responsibilities include: 

 

Campus Living (40%)

  • Serve as the Residence Hall Assistant Director for the assigned hall, supervising 6-15 Residence Assistants (RA);
  • Provide holistic supervision of the residence hall; through providing support to students in the building, handling all Facilities related issues;
  • Hearing tower specific conduct cases; 
  • Oversee assigned residential hall programming (floor and all-hall); 
  • Collaborate with on-campus and non-campus residence hall management teams to ensure housing facilities are well maintained. Serve as chief liaison with the non-campus management team on all issues; 
  • Manage housing invoices and ensure appropriate payments are facilitated; 
  • Collaborate with the Residential Education team to provide housing programs and support to short-term students;
  • Manage all outside vendors hired to do work on the Residence Hall;
  • Collaborate with the Campus Safety team to assist with safety and security issues. 

 

Residential Education (30%)

  • Attend all Residential Education meetings and all staff meetings;
  • Assist in the management of the housing system for the non-campus residence which includes housing applications, housing assignments, room changes, and billing;
  • Run reports and data management to assist with strategic and data driven decision making;
  • Participate in RA recruitment, selection, and training;
  • Have regular meetings with RAs and conduct RA performance evaluations;
  • Assist on any Residential Education and Housing projects, as necessary; 
  • Work to improve the overall level of programming and marketing. Encourage collaborative and cross-unit programs;
  • Serve as the live-in on-call Professional Staff-on-Duty on a regularly scheduled rotation with other professional staff member(s);
  • Meet with property management and other campus partner teams as needed;
  • Improve Residential Education and Housing digital projects and newsletters;
  • Assist with large-scale programming;
  • Collaborate with representatives from Student Government;
  • Assist with Move-in Day, Move-out processes and transition periods; 
  • Assist with room-mate mediations and process room changes, if necessary;
  • Collaborate with the Resource Center team, as needed. 

 

Office Administration (20%)

  • Manage NYU Shanghai’s housing services through the StarRez system; ensure all Residential Education billing is properly and posted in a timely manner, accurate, and in compliance with relevant policies;
  • Communicate regularly with Facilities staff and provide updates and feedback to the Office of Residential Education professional staff;
  • Manage the ordering, accounting, maintenance, and allocation all furniture in the residence halls;
  • Manage Residential Education financials through Workday;
  • Take care of the management and storage of all residential hall assets;
  • Assist in housing assignments and room changes;
  • Ensure any housing charges are properly posted to students' accounts;
  • Receive incoming student questions and offer general assistance to students;
  • Support campus partners through serving on committees and providing support for various Residential Education and/or Student Affairs initiatives;
  • Provide administrative support to other Residential Education Staff members as needed;   
  • Respond to emails and enquiries from students and other stakeholders. 

 

Crisis Response (10%) 

  • Handle student crisis situations during office hours as needed;  
  • Interpret university policies and guidelines;
  • Manage crisis response follow up as it pertains to non-campus students;
  • Ensure the proper training and performance of the RA team to handle crisis response.

Qualifications

Required Education 

  • Minimum Bachelor’s Degree;
  • Master’s Degree preferred in related fields

 

Preferred Experience 

  • 1-2 years of work-related experience preferred in Higher Education/Student Affairs; 

Required Knowledge, Skills, and Abilities

  • Proficient in both written and spoken English;
  • Good interpersonal and communication skills to work in an international and cross-cultural environment; 
  • Good problem solving and time management skills;
  • High professional integrity, honesty and trust;
  • Well-organized, detail and service-oriented;
  • Proficiency in using computers, databases, social media, and comfortable with learning new technology.
