Position Summary

This position will report to AP manager. The responsibilities include but not limited to review and process payment requests in time and accurately, and make the payment processed consistent with policies and regulations; payment-part accounting affairs; communication on question from payment parts with requesters and relevant teams to process the payments properly and smoothly; organizing training as service window of Finance to the community; cooperate with relevant team to maintain the Financial system from AP part; voucher filing; ad hoc tasks.

 

The main responsibilities include:

Responsibility A (60%) Processing payment and accounting affairs

Payment Review and Process

  • In routine works every week, to review and process payment requests, including reimbursements, vendor payments and ad hoc payments, from financial perspectives on supporting documents, business process, etc. Having good understanding on relevant policies, regulations and procedures, to ensure the compliance and rationality of payment;
  • For vendor payment, to review and initiate payment application. To coordinate with procurement team, buyers and requestors on supporting documents, workflow, and business process to ensure the proper payment review and accurate accounting journal generation;
  • Working closely with treasury team, transferring completed payment applications to the team timely to make the payment in time, and on the consistency of accounting journal.

Accounting

  • Responsible for accounting affairs from payment perspective, including accurate expenses accrual, reconciliation of expenses, VAT authentication, tax-part accounting treatment (IIT, VAT, etc.);
  • Preparation of the monthly cash flow out report by ledger account category;
  • Run the “Payable to Supplier Balances Reconciliation” report during monthly closing, focus on the reconciliation exception issues, including pending  invoices and accrued expenses or assets, to ensure the correct balance of AP ledger account.

Responsibility B (30%) Communication, Training and System maintenance

  • In routine works, respond to inquiries about various question about payment applications, active communication and follow up on complicated question to solve the problem efficiently and professionally. to process payment consistent with policy and procedure and smoothly;
  • Preparing training materials and organizing training session mainly on payment parts as service window in Finance to the community;
  • Participate and collaborate with relevant teams on maintenance of finance system. 

Responsibility C (10%) Administrative affairs

  • File vouchers in time;
  • Other ad hoc tasks.

Qualifications

Required Education  

  • Bachelor or higher degree in accounting or audit or finance or business administration required;
  • Professional Certificate in the field is preferred.

Required Experience

  • At least 3 years’ work experience in AP or similar function in mid - large scale enterprises is preferred.

Required Knowledge, Skills, and Abilities

  • Skillful in using certain ERP system as well as basic applications like Word, Excel, PPT.
  • Be good at using multimedia tools (WeChat post, etc.,) is preferred;
  • Proficient in written and spoken English and Mandarin;
  • Excellent interpersonal and communication skills in an international and cross-cultural environment;
  • Good problem-solving and good time management skills;
  • Objectives-oriented and the ability of completing multiple-task under pressure.
